You could be the perfect candidate with a decade of relevant experience, and still never make it past the automated screening. ATS rejection is not about qualifications -- it is about compatibility between your document and the parsing software. Here are the five most common resume mistakes that trigger automatic rejection, and how to fix each one.

Mistake 1: Using a Creative, Multi-Column Template

Design-forward templates from Canva, Behance, or Etsy look stunning on screen. But most ATS parsers read documents in a single left-to-right, top-to-bottom stream. Multi-column layouts cause the parser to merge unrelated content, turning your carefully crafted experience section into gibberish.

The Fix: Use a single-column layout with clear section breaks. Save visual flair for your portfolio, not your resume.

Mistake 2: Embedding Key Information in Images or Graphics

Infographic resumes with skill bars, icons, or chart visualizations are entirely invisible to ATS parsers. If your contact information is inside a designed header image, the system literally cannot see your phone number or email.

The Fix: Every piece of information must be in selectable, machine-readable text. Test by copying and pasting from your PDF -- if it does not paste cleanly, the ATS cannot read it either.

Mistake 3: Missing or Non-Standard Section Headers

ATS software looks for standard section labels to categorize your content. If you label your work history as "Where I've Made an Impact" instead of "Experience" or "Work Experience," the parser may fail to recognize it as employment history entirely.

The Fix: Stick to universally recognized headings: Summary, Experience, Education, Skills, Certifications. You can be creative in the content, but keep the labels conventional.

Mistake 4: Inconsistent or Ambiguous Date Formats

ATS platforms use dates to calculate your years of experience and identify employment gaps. If your dates are inconsistent (mixing "2020-2022" with "January 2023 to Present" with "Q3 2019"), the parser may miscalculate your tenure or flag gaps that do not actually exist.

The Fix: Use a single, consistent date format throughout. "Jan 2023 - Present" or "01/2023 - Present" both work, but pick one and stick with it.

Mistake 5: Submitting the Wrong File Format

A beautifully designed PDF exported from InDesign or Illustrator often uses vector text, embedded fonts, or layered elements that ATS parsers cannot extract. Similarly, .pages files from Apple are unsupported by most systems.

The Fix: Submit in .docx when possible. If a PDF is required, export from Word or Google Docs rather than a design tool. Always run a quick ATS check before submitting.
